Part time Administrative Assistant

Description

To provide part time clerical and administrative services to the pastors and to other professional Church staff, Session, committees, and other Church organizations. The position requires a strong attention to detail, the capability to communicate well with parishioners, and an ability to stay organized.

Essential Duties and Responsibilities

  • Answer phone calls in the church office, maintain voicemail, and direct inquiries to the appropriate person.
  • Completes clerical tasks as necessary, including typing, filing, and copying.
  • Reads and responds to emails as needed.
  • Serve as a helpful, courteous, professional, and caring ambassador to all who visit the church office, answering questions and responding to needs as able – directing needs and/or questions to others as required.
  • Creates, updates, and helps distribute church event calendar, advising Head of Staff and specific groups when conflicts arise.
  • Maintain the database program so the church rolls are current.
  • Maintains all church records, such as information regarding baptisms and marriages.
  • Be responsible for the production and distribution of the annual report for the annual meeting.
  • Maintain an adequate level of office supplies and paper. When ordering seek competitive prices and the best value for the church.
  • Provide for the maintenance of all office equipment, including computers, copying machines and phones.
  • Serve as editor of the monthly newsletter, using creative design and layout, submitting a master of the same to the Head of Staff for approval prior to printing and mailing. Must be able to adhere to deadlines.
  • Prepare the weekly Sunday worship folders in conjunction with the Head of Staff. Must be able to adhere to deadlines. Notify worship leaders of the availability of the bulletin for their review. Prepare, as needed, bulletins for weddings and funerals at the request of the Head of Staff.
  • Arranges details for weddings, funerals, baptisms, and any other events that require the use of the church itself.
  • Contact the Head of Staff if unable to be present in the office during posted office hours.
  • Provide a neat, clean, and organized atmosphere throughout the entire office.
  • Maintain strict confidentiality in regard to anything of a confidential nature seen or heard in the church office.  Revealing anything of a confidential nature is grounds for immediate disciplinary action up to and including termination.
  • Maintain files; hard copies, electronic/computer back-up as necessary.
  • Recruit and train competent volunteers, providing direction for them in handling any of the office tasks.
  • Refer all requests for weddings and building usage by outside groups to the Head of Staff.
  • Prepare a monthly calendar for printing and inclusion in the monthly newsletter. Provide a calendar for the cleaning staff so that rooms/areas are ready for meetings and special events.
  • Maintain a central source of information, including but not limited to, a directory of church staff, Session members, committees and building use. Maintain a master calendar for the year posted where those concerned may see what is scheduled.
  • May assist finance manager in preparing payroll information, distributing checks, printing Session reports, and maintaining office financial records.
  • Prepares and sends out church mailings as requested.
  • Any of the responsibilities listed may be changed according to the current overall needs of the church as deemed necessary by the Head of Staff.

Required Knowledge, Skills and Abilities

  • Demonstrate the ability to communicate information clearly and effectively to parishioners and visitors.
  • Show patience and understanding when dealing with confused, grieving, or difficult situations in the office by demonstrating a Christian commitment and character to everyone.
  • Possesses knowledge of general office equipment and has competent computer skills with knowledge of various software programs.  Current competency or ability to learn; Word, Excel, WordPress, Quicken, church database and publishing software programs.
  • Be flexible and generally familiar with the church, its mission, ministry and needs.
  • Ability to plan and organize work in order to carry out duties without continuous, direct supervision.
  • Has the ability to think creatively, for purposes of designing church materials and updates to the website.
  • Must be able to adhere to deadlines.  Possess the ability to establish and maintain harmonious working relationships with the church staff, church members and the public.

Education and Experience

  • A minimum high school diploma required.
  • Clerical certificate, associate, or bachelor’s degree recommended.
  • Basic office work experience and competent computer skills required.

Accountability

The church administrative assistant is accountable to the Head of Staff, and through the Personnel Committee to the Session.

Work Schedule

Monday through Friday 8:00am to 12:00pm. This schedule may be adjusted according to the workload and/or scheduling needs.

Pay – $15.00-$16.00 per hour
